A major player in fuel distribution

With over 50 years of experience and 660 000 gallons of petroleum products delivered annually, Dyneff is the second-largest company in Languedoc-Roussillon in terms of turnover (€2.3 billion in sales in 2019 with 440 employees). It regroups more than 100 service stations divided under two banners: Dyneff for national roads and Rompetrol for freeways and major roads. It also has 13 sales agencies and two wholesale key account centers in France and Spain.

Dyneff relies on a large network of owned or leased depots and has a combined storage capacity of approximately 497,000 yd3 (cubic yard)/ 380,000 m3. A pioneer in the launch of green fuels in France, Dyneff promotes the development of biofuels blended with petroleum fuels, distributed in the form of Superethanol E85, SPE95-10, or B30. Dyneff’s expansion is supported by the international oil group KazMunayGas International NV, which is involved at every stage of the oil industry and provides increased access to supply sources.

CMMS: an obvious choice!

As soon as he took up his post in 2012 as Technical Director, Bruno Pierrine intended to simplify the monitoring of maintenance for the 50 sites spread over France and Spain. The need for a CMMS was obvious when considering the multitude of Excel files broken down by equipment type (tanks, hoses, etc.) or worksite type (service stations with stores, with unmanned machines, etc.).

Initial objectives for the CMMS implementation were to:

  • Create a single database for equipment,
  • Track and trace maintenance interventions across all sites,
  • Have a global vision of the maintenance activity, including over the most frequent breakdowns and the inventory,
  • Optimize the maintenance strategy by easily implementing preventive maintenance plans.

The DimoMaint solution

DYNEFF did not choose the software used by their Romanian subsidiary because the unit cost per site was too high. After a thorough study of their needs, the idea of developing a solution internally was quickly discarded as it cost too much time.

DYNEFF then directed its attention to software available on the market. Given that the CMMS would have to be used by the 60 people who make up the sales and technical teams, DYNEFF chose the DimoMaint offer, which stood out from the competition thanks to:

  • A worldwide customer base with over 2,000 clients : «The number of customers is very important in my opinion for the enrichment of the solution in essential functionalities relevant to the greatest number of people », underlines Bruno Pierrine.
  • Training offered with an experienced trainer in the oil industry,
  • DimoMaint’s customer references in the oil industry.
    «Since we were starting from scratch and had to draft up an entire organization, it was in our best interest to take advantage of the experience of long-term customers. »

A step-by-step deployment

The first step, inventory of the equipment on all sites, should not be underestimated as it is very time-consuming and fundamental to create the tree structure, which is the backbone of the CMMS solution. On each site, pieces of equipment should be assigned unique numbers.

«A CMMS project is successful if users are well trained and fill in the database exhaustively and systematically. It then becomes their tool and serves as an interface between the frontline and administrative staff. The CMMS solution will also make it possible to analyze the relevance of an intervention request and the efficiency of the technical team » emphasizes the technical director.
Given the importance of the project, a control team composed of two people from each department received training first.

Once the tool had been tested and a 10-page training guide drawn up listing the main functions of the CMMS and the advantages of the word order management, the CMMS was open to all 60 users. The New Works department is now in charge of creating new sites according to a well-defined framework and enters all the data into the CMMS. The Maintenance team easily accesses operational data and manages the database, as well as the WR, WO, and PM.

More than 2,000 interventions are recorded per year. The 20 stations open to the public account for 90% of the requests, as the sites are subject to more traffic. Finally, the 7 motorway stations require the most maintenance (catering, service, green spaces, etc.).

Many benefits

The DimoMaint solution allowed DYNEFF to centralize and share information. Now all employees speak the same language and have the same information at the same time. After one year, no more paper is circulating.

In addition to the increased reliability of the equipment (pumps, microwave oven, etc.), the CMMS solution improved maintenance management, thanks to better follow-up on maintenance activity, interventions, or priorities… With the DimoMaint CMMS, employees were able to process ten times more intervention requests.

DYNEFF is now thinking of equipping itself with the Maintenance Document Management module, to improve service performance and analyze equipment end of life in greater detail.
