Founded in 1784 as Ireland’s national training body for surgeons, the Royal College of Surgeons in Ireland (RCSI) has been at the forefront of healthcare education for more than two centuries.
Today, RCSI is a globally recognized university and health sciences research institution, delivering undergraduate, postgraduate, and professional education while supporting healthcare services and hospitals throughout Ireland.
Its largest faculty, the Faculty of Medicine and Health Sciences, provides education and training across Medicine, Pharmacy, Biomolecular Sciences, Physiotherapy, Nursing and Midwifery, postgraduate studies, and the Institute of Leadership.
RCSI manages more than 30 facilities, including historic buildings, modern academic complexes, laboratories, and student accommodation. The campus is also home to Europe’s most advanced clinical healthcare simulation center at 26 York Street in Dublin, which was named Ireland’s Favorite Building at the 2018 Irish Architecture Awards.
Before choosing DimoMaint FM, RCSI’s Estates and Support Services Department had implemented several facility management and CAFM solutions with varying degrees of success. A Collaborative Approach to CMMS Implementation
Toward the end of 2020, Colm Murray, Buildings and Estates Manager at RCSI, began discussions with DimoMaint FM.
Following a competitive tender process, extensive evaluations, and multiple demonstrations, RCSI started rolling out DimoMaint FM in early 2021. Colm personally managed the data migration and system configuration over several weeks, with guidance from the DimoMaint FM team when needed.
Throughout the implementation, RCSI also requested enhancements to better align the platform with its operational requirements. That close partnership has continued ever since, with RCSI actively contributing ideas for new features and ongoing product improvements.
How RCSI Uses DimoMaint FM
Today, DimoMaint FM supports a wide range of facility management activities across the university, including:
- Receiving maintenance requests from staff
- Managing and scheduling corrective maintenance, with more than 500 reactive work orders every month
- Planning preventive maintenance using 58+ maintenance schedules, with inspection forms and checklists automatically attached to each task through the electronic forms module
- Automatically routing work orders to the appropriate maintenance team and building
- Managing site, location, and asset documentation from a centralized platform
- Monitoring and managing work orders and assets remotely through the Manager mobile app
- Creating a wide variety of permit-to-work forms using DimoMaint FM’s electronic form builder. Forms can be emailed directly to contractors for completion, then automatically linked to the relevant work order and made available through both the mobile application and contractor portal. More than 25 electronic forms have already been developed.
- Streamlining contractor management. When a task is assigned, a unique QR code is generated for that specific work order. Contractors present the QR code at the security desk upon arrival, giving them immediate access to all relevant job information, recording their check-in, and automatically logging the start of the intervention.
- Providing contractors with password-free access. Instead of logging into the system, contractors simply click the secure link included in their email to access the Contractor Portal, where they can review and manage assigned work. This significantly simplifies operations for the 300+ contractors currently registered in DimoMaint FM.
